Customer profiles & balances

One record per person: profile pricing, store credit, house accounts, cards on file.

Players (or Customers) is the master list. One record per person, carrying:

Profile

Their rate class — the thing that prices their golf. See Green fees & profiles.

Store credit

A balance that spends like cash at your register. It's where rain checks, returned-goods credit, and won pots land. Load it manually from the profile, or sell gift cards that attach to their account.

House accounts

"Put it on my account." Enable a house account on the profile, set a limit if you want one, and the register gains a House tender for that customer. Settle the balance any time — cash, card, or an emailed invoice.

Cards on file

With consent, save a card without ever touching it: the profile generates a QR code, the customer scans it and enters the card on their own phone (it goes straight to Stripe — Aced never sees the number). Saved cards can cover appointment no-show fees and membership installments automatically.

Importing

Bringing customers from another system? Settings → Import takes a CSV — names, contacts, profiles, and existing credit balances (imported credit books correctly as an opening liability, not fake revenue).
