Web logins & handing over the business

Give a teammate their own account, and transfer ownership when it's time.

Staff & PINs covers the shared front-counter terminal. Web logins are different: full accounts with their own email and password, for people who work from their own phone or laptop — a manager, a bookkeeper, the co-owner.

Invite a teammate

Only the owner can manage web logins. In Settings → Team → Web Logins:

  1. Type their email and pick a role (what the role can do is set in Roles & Permissions).
  2. Create invite link — you get a private link to send them however you like (text, email).
  3. They open the link, create their password (or sign in if they already have an Aced account with that email), and accept.

The link works for 14 days and only for that exact email — forwarding it to someone else does nothing. Pending invites are listed with a copy button and a cancel button; re-inviting the same email replaces the old link.

What they can do

Exactly what their role allows — the same permission system that governs PINs. A Read-only accountant sees reports and nothing else; an Admin can run the whole business. Change a role any time from Roles & Permissions.

Transfer ownership

Selling the business, or the person who set it up isn't the real owner? On any teammate's row, Make owner hands them the business:

  • They become the owner — billing, team management, everything.
  • You step down to Admin (still full working access), and the new owner can remove your login whenever they choose.
  • There is always exactly one owner.

Removing someone

The owner can remove any teammate's login instantly (their PIN, if they had one, is separate — remove that in Staff & PINs). Anyone can remove themselves from a business they no longer work at. The owner can't be removed — transfer ownership first.

Tip: web logins and PINs work together. A manager might have both: their own login for schedules and reports from home, and a PIN for ringing sales at the counter.
